⚙️ Generative Artificial Intelligence (AI) Use Policy

Effective Date: January 1, 2025
Last Updated: June 4, 2025

At Copper Sage CPA, we use generative artificial intelligence (AI) tools to improve creativity, operational efficiency, and client experience across our business. We believe in using AI ethically and transparently while safeguarding your trust—especially when it comes to financial data.

1. How We Use AI

We incorporate AI into various areas of our business, including:

  • Website content and visuals (e.g., blog posts, educational content, graphics)
  • Marketing materials, advertising copy, and social media
  • Webinar development and presentation scripting
  • Digital product creation (e.g., templates, prompts, financial guides)
  • Internal planning, business analysis, and operational automation

All AI-generated outputs are reviewed and edited by a human before publication or client delivery.

2. Tool Governance & Disclosures

We use reputable AI platforms and business productivity tools whose privacy policies and data practices govern their use. While we do not control these platforms, we take reasonable steps to evaluate their security and compliance standards.

Examples of tools we may use include:

  • ChatGPT (OpenAI)
  • Gemini (Google)
  • Canva
  • Notion
  • Microsoft 365
  • Google Workspace
  • n8n (automation platform)

Your data is never knowingly submitted to train public AI models, and we do not allow any proprietary or client information to be used for AI model development.

3. Client Financial Data & Confidentiality

We understand the sensitivity of financial data and treat all client information with the highest level of care:

  • We do not input client financial records, P&L data, or sensitive identifiers (e.g., bank info, tax IDs) into public or non-secured AI systems.
  • AI tools may support internal workflows (e.g., sorting or templating), but only with de-identified or dummy data unless securely processed.
  • All data handling is done in accordance with confidentiality standards and our internal safeguards.

4. AI Is Not a Substitute for Professional Advice

While AI can support analysis and insight, it is not a licensed advisor. All final recommendations and deliverables are subject to human review by a qualified professional.

5. Policy Updates

This policy may be updated to reflect evolving technology or practices. Updates will be reflected with the “Last Updated” date above.
